Privacy Policy

Last updated: April 2026

Your privacy is foundational to what GuidanceVault is built to do. This policy explains what we collect, why, and how we protect it.

1. Information We Collect

We collect the following categories of information:

  • Account data: name, email address, encrypted data & passwords, phone number
  • Content you create: reminder messages, contact records, uploaded documents
  • Usage data: login timestamps, last activity date, email delivery logs
  • Technical data: IP address (session only), browser type
  • More information can be found regarding secure login at: https://www.cloudflare.com/en-gb/turnstile-privacy-policy/

2. How We Use Your Information

  • To authenticate your account and maintain your session
  • To deliver scheduled reminders to your designated recipients
  • To provide customer support
  • To send transactional emails (verification, password reset)
  • To monitor for abuse and maintain service integrity

3. What We Do Not Do

  • We do not sell your data to third parties
  • We do not use your content for advertising or analytics
  • We do not share your data with anyone except the contacts you designate and as required by law
  • We do not read your reminder messages or documents

4. Data Storage & Security

All data is stored on servers located in the United States. Passwords are encrypted using the latest industry standards and above and are never stored in plaintext. Uploaded files are stored with randomized filenames in isolated per-user directories. All traffic is encrypted prior and during transit.

5. Data Retention

Your data is retained for as long as your account is active. If you cancel your account, your data is retained for 90 days and then permanently deleted. You will receive email reminders regarding the permanent removal prior to this happening. Email delivery logs are retained for 1 or more years for audit purposes.

6. Third-Party Service

We use third-party services in operating the platform to maintain the highest degree of safety and prevention of outages.

  • Cloudflare — We use this very established service for bot protection on public forms (privacy-preserving CAPTCHA; no tracking)

7. Your Rights

You have the right to:

  • Access a copy of your data
  • Correct inaccurate information
  • Delete your account and all associated data
  • Export your reminder content

To exercise these rights, contact us.

8. Cookies

We use a single session cookie as well as secure tokens (connect.sid) for authentication. We do not use tracking cookies or third-party analytics cookies.

9. Changes to This Policy

We reserve the right to update, modify, or revise this Privacy Policy at any time in our sole discretion. Any changes will be effective immediately upon posting the updated policy on this website unless otherwise stated. We may, but are not obligated to, notify registered users of material changes by email or through a notice on our website. Your continued use of our services after any updates constitutes acceptance of the revised Privacy Policy. You are responsible for periodically reviewing this policy to remain informed of any changes. Questions? Contact us.
